Summary

The Permit to Work system is an add-on feature located in the Compliance Management module. Depending on your customer and their requirements, you may or may not be required to submit a permit. Currently, many organisations require permits to be completed when you are on site. Smartek automates this process and allows you to submit a permit before you attend site so that there are no delays. 


Once permits are submitted by you, they are then reviewed by your Customer and approved/rejected. If a permit is rejected, a reason will be provided so that you can rectify it. The permit review and approval process works very similar to compliances in Smartek.


This article will provide you with knowledge of the permit to work system, where to locate permits and how to submit permits if this has been requested by your customer.


Where Do I Locate Permits?

Permits can be found within the Compliance and Permits module.  Please use the icon at the top right-hand side of your screen to locate and access this. 


If your customer has purchased Smartek's Permit to Work System, there will be a section on the left-hand side of your page to submit and manage permits.


How Do Permits Work?

As a contractor, a permit becomes another compliance requirement that needs to be fulfilled.

Permits are usually a requirement when you are undertaking high-risk activities.


Once you have submitted a permit, it will be reviewed by your customer. If your customer approves the permit, this requirement has been satisfied.


If your customer rejects what you have submitted, you will need to login, rectify and re-submit.


How Do I Submit a Permit?

It is the responsiblity of the Company admin to submit permits. Please follow the steps below to ensure this is done correctly.


Steps

1. Select the Compliances & Permits module

2. Find the Permits section and click the Submit Permit tab.



3. You will then be provided a list of permits available for you to submit at any time. Click start to submit a permit for your Customer to review.

 4. Complete all stages of the Permit.


Provide description of work.



Add Permit Holders. Add all employees that you will be using for this job.


Complete the Permit form. Once all questions have been answered, submit for review.



Next Steps


Wait for your customer to review the permit you have submitted. Once it has been reviewed it will either be approved or rejected. When a permit is rejected, your company will receive an email notification advising you and how to resolve it.


When your permit has been approved you can tick this requirement off and use the Check My Access feature to confirm if you are compliant to undertake work.
